With the “International Dimension” of Erasmus+, TUM employees have the opportunity to undertake training and further education stays at selected partner universities and institutions around the world.
Call for proposals and application period
In the current call for applications, TUM Global & Alumni Office is awarding scholarships for Erasmus+ stays at the following partner institutions:
- Stellenbosch University (South Africa)
- Kwame Nkrumah University of Science and Technology - KNUST (Ghana)
- Institut Teknologi Bandung - ITB (Indonesia)
- Instituto Tecnológico y de Estudios Superiores de Monterrey - Tec de Monterrey (Mexico)
- European Association for International Education - EAIE Glasgow 2026 (United Kingdom)
The scholarships can be awarded for stays either for professional development or for teaching purposes.
Funding is available for stays of five consecutive days (Monday to Friday) between May 18 and July24, 2026 at the above-mentioned universities, and for stays of four days from September 8 to 11, 2026 at the EAIE Glasgow 2026.
Applications could be submitted to the TUM Global & Alumni Office until February 28, 2026.
The next call for applications is expected to be launched still in 2026. Details will be published in our newsletter as soon as they become available.
How it works
- Draft a plan for a stay at one of the listed institutions
- Obtain approval from your supervisor
- Contact the appropriate contact person at your chosen host university and discuss your plans for the stay (activities for training or exchange of best practices). Exception: For applications to attend the EAIE, no contact is necessary yet.
- Submit your application by February 28, 2026, using the application form
- Receive notice from TUM G&A whether or not your application has been selected for funding, by March 16, 2026
- If applicable, accept the grant offer and confirm your plans by March 23, 2026
- Submit the documents required for Erasmus+ funding to TUM G&A by April 15, 2026
- Stay: 5 days (Monday to Friday) between May 18 and July 24, 2026 at one of the listed universities, or 4 days from September 8 to 11, 2026 at EAIE Glasgow 2026.
Eligibility requirements for continuing education and training with Erasmus+
- Employment at TUM or the Munich School of Politics and Public Policy (HfP)
- The planned training activities during the stay must be directly related to the work performed on the job
- It is necessary to comply with the regular procedures for business travel at the TUM (Travel Authorization prior to the start of the trip, processed Travel Expense Report afterwards)
- Mobility Agreement (defining content and goal of your trip, in accordance with to the goals of the Erasmus+ program)
Self-organized education and training
Typical self-organized professional development formats include:
- Job shadowing/internships
- Study visits at partner universities
- Attendance at International Week/Staff Week/Partner Days
Workshops/Seminars
Other formats may also be eligible for funding upon request.
Important: Grants are not available for research visits abroad. It is possible to conduct research in combination with a teaching assignment abroad
- Duration of stay must be five consecutive days (Monday to Friday) at one of the listed universities, or four consecutive days at EAIE.
- The funding consists of a lump sum for individual support (per day of activities at the host university and usually two travel days) and support for travel expenses (according to EU regulations)
- Disembursement of grant funds can only be paid once all required documents have been submitted.
- 70% of your total grant amount is paid prior to the trip, 30% afterwards
- Co-financing with other funds (e.g., budget funds from your own department) is possible, provided that the expenses are not already covered by Erasmus+. Combining this funding with grants from other EU programs (e.g., Leonardo da Vinci) is not permitted.
Grant Amount / Funding Allowance
- The grant consists of a daily allowance (based on the length of stay and travel days) and a travel allowance, depending on the distance to the destination. For the stays offered in the current call for proposals (four or five days of stay plus two travel days), the total grant amounts are:
- for stays at Stellenbosch University, ITB, or Tec de Monterrey: €3,065
- for stays at KNUST: €2,518
- for stays at EAIE Glasgow 2026: 1.389 €
Subsidies for employees with special needs
- Additional funding is available for those with a disability rating of 20% or higher – retroactive funding is not possible.
- Applications should be submitted to the National Agency DAAD via the TUM G&A. Documents must be submitted at least three months before the start of the stay (please contact the TUM G&A for assistance).
The TUM Global & Alumni Office is happy to assist you with any questions you have about training opportunities with Erasmus+. After the calls for proposals are published, the application process is essentially as follows:
1. Obtain general approval from your supervisor
- Find out whether there is general support for your plan and if he or she is willing to sign a corresponding travel authorization request.
2. Contact one of the participating universities
- If you already have a contact person at a partner university or if have found one after having searched on the partner’s website you can contact this person directly.
- If not, please contact the TUM Global & Alumni Office. We will be happy to help you.
- After having found a counterpart interested in hosting you, you can start elaborating the goals, the activities, and the timeframe of your visit.
- Exception: for applications to attend th EAIE 2026, contact is not yet necessary at this time.
3. Submit your application in time
- Fill out the application form and ask your partner to issue you a Letter of Invitation. This can also be an informal e-mail.
- Send both by e-mail to TUM G&A before the deadline. The completed application form must also be signed by your supervisor.
4. Information about acceptance or refusal
- Based on the submitted documents, the participants will be selected and nominated.
- Criteria of evaluation are accordance with the goals of the call for applications, quality of the project description/preparation, and impact as well as sustainability of the project for TUM.
- By March 16, 2026 you will receive an e-mail notification about acceptance or refusal of your application.
- In case of a acceptance, you will be notified about the next steps in the same e-mail.
5. Submit your documents to the Global & Alumni Office
In order to be able to disemburse the Erasmus grant, we need some documents from you and need you to register in the TUM portal for employees (see Requirements before your stay abroad). You will receive templates of the required documents with the e-mail of acceptance.
The following documents are required for the disbursement of the first installment of the grant:
1. Completed and signed Mobility Agreement
The Mobility Agreement needs to be signed by four parties before being submitted:
- Participant
- Supervisor (chair holders can sign themselves again in this field)
- Erasmus representative in your department
- Contact person at the host univesity
2. Authorization for travel
Please remember to submit your request for travel authorization to the travel cost center as soon as you receive notification of approval.
3. Registration on the TUM Portal
- Please register your Erasmus+ stay for teaching purposes using our TUM Portal online.
- There you will need to upload the completed and signed Mobility Agreement and travel authorization.
Important notes on registering on the TUM Portal
- Please only use your TUM e-mail address to register on the TUM Portal.
- Please remember your password.
- Always use the same TUM e-mail address for all follow-up requirements or any possible future applications.
- Register on the TUM Portal by using the form Registration - Erasmus+ Staff Mobility (STA/STT) - OUTGOING.
- In the menu “Planned Stay Abroad”, make sure to select Framework and then Erasmus STT outside of Europe.
4. Signed Grant Agreement
- After your grant has been approved and you have submitted the required documents, you will receive the Grant Agreement by email.
- Please sign this document and return it to TUM G&A well in advance of your start date.
The following documents are required for payment of the second installment of your grant. If documents are missing, TUM G&A is obliged to reclaim the first installment already paid out.
Confirmation of stay by the host institution
- Confirmation of Stay At the end of your stay, please ask your contact person at the host institution to sign and stamp this document.
After your stay
- Processed Travel Expense Report Ask your corresponding travel cost center to process your original documents for your travel and accommodation costs along with your Travel Expense Reimbursement Claim. Once you have received your processed Travel Expense Report, be sure to submit it to the TUM G&A.
- EU Survey for the European Commission. You will automatically receive an e-mail containing your login details from an EU database. Once you receive this e-mail notification, you have 30 days to complete the EU survey.
