Registration of your freemover stay abroad in the Diploma Supplement
In addition to the programs of the TUM Global & Alumni Office, you may also choose to organize your stay abroad on your own. Freemover stays include study semesters, stays for thesis or dissertation completion as well as study trips and internships. Before applying for your final academic documents, make sure your self-organized stay has been entered in your Diploma Supplement by the Global & Alumni Office.
Requirements for entry in your Diploma Supplement
In order for your Freemover stay abroad to be included in the Diploma Supplement, the following conditions must be met:
- The stay must be clearly related to your academic objectives.
- The duration of the stay must be at least two months. For shorter stays, an entry is only possible if ECTS were earned as part of the stay (e.g., ATHENS, summer schools).
Steps for Diploma Supplement Entry
- Register your self-organized stay in MoveOn - after returning from abroad.
- Use this link: Outgoing - Registration other mobilities (free mover and other programs) to access the form.
- Upload your Confirmation of Stay in the designated section. A template is available in the Downloads section (see below).
- The Confirmation of Stay must include the following information:
- Duration of your stay (start and end dates)
- Name and country of the host institution
- Signature and official position of the signatory, as well as the institution's stamp. The signature must not be dated earlier than five days before the end of your stay.
- Print the completed online form and submit it together with the Confirmation of Stay to the international coordinator of your degree program for signature. This step confirms that your stay was relevant to your studies.

Information on entry in your Diploma Supplement
Approved stays abroad are listed in the Diploma Supplement, section 6.1 “Additional Information” in English. The entry includes the following information:
- Study-related stay abroad – (e.g. final thesis)
- DD.MM.YYYY – DD.MM.YYYY: [Name of host institution] in [Country]
If your stay was conducted partly via online learning at a different location than the host institution, it will be recorded as “blended mobility.”
Data is transferred to TUMonline monthly, about ten times per year (excluding August and December).
Please request the entry in your Diploma Supplement as soon as possible after your return to avoid delays in the issuance of your final academic documents. After your stay has been entered into your student file, you will receive an automated confirmation email. Only apply for your final documents after receiving it.
Automatic entry of your stay abroad
If you participated in one of the following programs, no additional registration is required. Automatic entry into the Diploma Supplement is contingent upon you submitting the required After Mobility documents, such as the Confirmation of Stay, after completing your stay, and that your program participation is fully concluded:
- Erasmus+ (studies and internship)
- TUMexchange
- ATHENS
- BIP
- School programs (when registered in MoveOn)
- Swiss European Mobility Programme (studies and internship)
- Stays funded by scholarships from the TUM Global & Alumni Office
The entries of these stays will also only appear in your diploma supplement, if you have received an e-mail confirming this, before you request your diploma to be issued. Therefore please wait for this e-mail before requesting your diploma.
Credit recognition is also possible for self-organized stays abroad after consultation with the international coordinator of your degree program.
Further informationen on the Diploma Supplement
The Diploma Supplement (DS) is issued as per the Bologna reform as an English language supplement to the university degree certificate. It describes the qualifications associated with the study program according to universal criteria. The aim is to facilitate the assessment and grading of academic degrees, both for study and professional purposes, at home and abroad.
The DS is divided into a total of 8 chapters. In Chapter 6.1 "Additional Information", you can provide individual information about your extracurricular activities during your studies. This may also include, for example, journal entries on stays abroad.
